Customer story

The next call. Right where the conversation left off.

Across 7 events, ZEDPACK used Habsy to capture 250 to 300 contacts per event, along with the requirement behind each conversation. Notes, voice notes, intent signals and reminders let the team follow up knowing what was discussed and what it had promised.

The change at a glance
Before Habsy · Follow-up

60 in 100 missed

Valuable follow-ups slipped, because a card marked important did not say what the person needed.

With Habsy · Follow-up

Every promise on a reminder

The quotation, sample or meeting the rep agreed to becomes a reminder on the contact.

Before Habsy · The note

“Call back.”

A short mark on the card. The requirement lived in a notebook or in someone’s memory.

With Habsy · The note

Requirement first

Notes, voice notes and intent signals sit on the contact, ready before the call.

01 / The challenge

A bowl full of cards. Too little of the conversation.

ZEDPACK’s best leads came from detailed conversations. Back at the office, a business card rarely said what that conversation had been about.

ZEDPACK supplies non-woven shopping and packaging bags, including custom printed options. At an event, a useful discussion covers far more than a name and phone number: the product, quantities, branding, samples and the next step.

Reps used to collect business cards in a bowl and make separate notes. A card might be marked “important to call back”, but the team did not always have a record of what the person had asked for or what had been promised.

ZEDPACK estimates that around 70% of its contacts are useful conversations, and that around 60 in 100 valuable follow-ups were being missed. When reps called after an event, they sometimes had to start the conversation again.

02 / The change

Capture what mattered. Keep it with the person.

Habsy gave the team a way to record the requirement at the moment of capture, and to turn each promise into a next step it could come back to.

  1. Scan the card. Add the takeaway.

Capture the contact, then add a written note or a voice note about the discussion: what the prospect asked for, and what the rep agreed to send.

  2. Record the signals that matter.

Custom intent signals capture the product interest, the quantity and the buying timeline, so the team has more to go on than an “important” mark.

  3. Set the reminder. Come back prepared.

After saving the contact, add a reminder for the quotation, sample, brochure or meeting. Before calling, review the context and continue the conversation.

03 / The results

The team continued the conversation. And kept its promises.

After each event, reps could open a contact, see the requirement and follow up with a relevant next step. ZEDPACK reports better-informed conversations and an easier way to manage follow-up.

The next call starts with the requirement

Reps review the notes and voice notes, instead of asking the prospect to explain the conversation again.

Intent signals make the next step clearer

Recorded interest, quantities and timelines help the team decide whom to call first and what to send.

Promises become follow-up tasks

A reminder for the quotation, sample or meeting stays linked to the contact until it is done.

Earlier, we collected cards and marked the important ones for a callback, but we often lost the details of the conversation. With Habsy, we keep notes, voice notes, and intent with the contact, and set reminders for what we have promised. When we call after the event, we know what the person asked for and can continue the discussion with the right information. It has made our follow-up easier and more relevant.

04 / What made the difference

A name to call. A reason to call. A next step to deliver.

Digitising the card was the starting point. Keeping the requirement, the intent and the next step with it is what changed the follow-up.

Notes keep the detail

Written and voice notes hold what does not fit on a business card: the requirement, a question or a commitment from the rep. Voice notes are transcribed and searchable.

Intent signals guide the approach

Signals set up for ZEDPACK’s sales process capture interest, quantity and timeline, so reps can plan the follow-up from what the prospect said.

Contact intelligence →

Reminders protect the promise

Each next step stays linked to the contact, so the team can return to the person, the context and the action it agreed to.

From “call back” to “here is what you asked for”.

Across 7 events and more than 1,750 contacts, the team now starts each follow-up from the requirement, not from a blank page.

In summary

Habsy's summary of the story

Remembering the conversation changed the quality of the next one.

For ZEDPACK, scanning the card was only the start. Keeping the requirement, the intent and a reminder with each contact moved the team from a generic callback to a follow-up that picks up where the conversation left off.
